· Washington Court â has space available. âRoom is available that would require a $3500 food/beverage minimum, excluding service charges and tax."
· Liaison Hotel â "We can offer this space for a $4,000 food and beverage minimum with a $400 space rental fee. Please note this does not include service charge, tax, or bartender fee.â
Remember our food budget was $4000, so the options above are in the ballpark. But once you include tax and other fees, they will be more expensive than what we had planned.
- Library of Congress - I wrote Anne Boni at the Center on the Book to see if they could be helpful in any way. She wrote back this afternoon saying she will look into it but it will be a few days before she can give us an answer.
Let me know ASAP with any preferences/thoughts â particularly about moving the date. When I mentioned that possibility to Heather and Deborah on Friday, they felt pretty strongly about NOT moving the date.

Yes, Anne got back to me late yesterday. No rooms at LOC available on the 28th. Once again, other dates that week are OK. The 28th just turns out to be a bad night.
Iâll check in with Ellen and try to check out the other hotel possibilities this afternoon or tmw morning. The options are pretty grim at this point.

I agree. Iâm feeling like the 28th is cursed or something. In addition to the space problem, I am now spooked enough about this date that I think it wise for me to check with award winners and our other VIPs (youâll recall our discussion about recognizing Rep. Hinojosa) to ensure they are at least in theory available that night.
The other option to consider is whether those coming from out of town have already booked flights. Have any of you on the board coming in from out of town already booked your fights? As for COABE, we could pony up and pay for meeting space at the Hall of States to at least partially accommodate them. That way, I would think at least one representative from COABE could be there for some of the time.
Which reminds me, with the uncertainty around this, Iâm asking Sharon to hold off on her message recruiting members of NCL to join COABE for their Hill Day, in the remote possibility that we might have to reschedule. I am worried about what she will do with that information (that we are somewhat uncertain about our timing) but I thought that made sense seeing where we are right now.
Why donât I at least look at the possibilities of other nights one more time and then send out ALL of the options to you all with an eye to making a final decision tomorrow? Does that work?

Remember our food budget was $4000, so the options above are in the ballpark. But once you include tax and other fees, they will be more expensive than what we had planned.
- Library of Congress - I wrote Anne Boni at the Center on the Book to see if they could be helpful in any way. She wrote back this afternoon saying she will look into it but it will be a few days before she can give us an answer.
Let me know ASAP with any preferences/thoughts â particularly about moving the date. When I mentioned that possibility to Heather and Deborah on Friday, they felt pretty strongly about NOT moving the date.

HI everyone,
After reading this discussion, my thoughts are:
- will the people we want to attend our event on the 28th be attending these other events (such as the one that bumped us)?
- If we move it to the 27th, could we keep the membership meeting on the 28th in the am, so it does not conflict with COABE?
- I agree, the further we get away from the Hill the less chance we have of people attending - I would also consider, at this point, having the event on the 27th. I am trying to remember - would this put our awards event on the same day as COABEâs?

HI everyone,
After reading this discussion, my thoughts are:
- will the people we want to attend our event on the 28th be attending these other events (such as the one that bumped us)?
- If we move it to the 27th, could we keep the membership meeting on the 28th in the am, so it does not conflict with COABE?
- I agree, the further we get away from the Hill the less chance we have of people attending - I would also consider, at this point, having the event on the 27th. I am trying to remember - would this put our awards event on the same day as COABEâs?

Hi Heather,
I donât know if the events at the LOC are things that our folks would be going to, but I suspect not. We have no way to know. And the reason the rooms in the House are booked likely not for outside events, but because members actually need them for official business.
I donât think there is any way to avoid conflicting with COABEâs hill day if we meet on the 28th â as you know, meetings are scattered across the day, depending on when the staff are available. I was thinking that we could meet at the Hall of States to minimize the issue, but it wouldnât be perfect. But it just occurred to me that if we are going to move the awards event to the 27th, we could hold our member meeting the 27th too right? I mean, as long as we are asking people to change their travel plans⦠so we come in the morning of the 27th and do the member meeting and event the same day.
Ellen Fernâs take is that holding an event âoff campusâ that week is a bad idea. Here is her direct quote: "It is the LAST week in session before they recess for at least 6 weeks. They will be trying to pass a short-term or long-term CR in addition to numerous other legislative measures. No one will want to go 'off campus' to attend an event. Or at least it will be much harder to do so. Legislative staff won't be able to attend certainly off campus." (my emphasis)
In addition to the 27th, one last ditch possibility is to move the whole thing up a week. CEFâs gala and legislative conference is the 21st, and Iâm heavily involved in that, but could probably get away in the afternoon for a board meeting. Then we could do the member meeting on the 22nd and our awards the evening of the 22nd.
The key for me is whether any of this rescheduling is going to interfere with already-booked flights. Can I confirm again that at least those organizations on the board have NOT booked flights?
Iâll followup in a minute with a concise summary of our options and plan to proceed. Thank you all for your patience and helpful feedback.

Hi Heather,
I donât know if the events at the LOC are things that our folks would be
going to, but I suspect not. We have no way to know. And the reason the
rooms in the House are booked likely not for outside events, but because
members actually need them for official business.
I donât think there is any way to avoid conflicting with COABEâs hill day
if we meet on the 28th â as you know, meetings are scattered across the
day, depending on when the staff are available. I was thinking that we
could meet at the Hall of States to minimize the issue, but it wouldnât be
perfect. But it just occurred to me that if we are going to move the awards
event to the 27th, we could hold our member meeting the 27th too right? I
mean, as long as we are asking people to change their travel plans⦠so we
come in the morning of the 27th and do the member meeting and event the
same day.
Ellen Fernâs take is that holding an event âoff campusâ that week is a bad
idea. Here is her direct quote: "It is the LAST week in session before they
recess for at least 6 weeks. They will be trying to pass a short-term or
long-term CR in addition to numerous other legislative measures. No one
will want to go 'off campus' to attend an event. Or at least it will be
much harder to do so. Legislative staff won't be able to attend
certainly off campus." (my emphasis)
In addition to the 27th, one last ditch possibility is to move the whole
thing up a week. CEFâs gala and legislative conference is the 21st, and Iâm
heavily involved in that, but could probably get away in the afternoon for
a board meeting. Then we could do the member meeting on the 22nd and our
awards the evening of the 22nd.
The key for me is whether any of this rescheduling is going to interfere
with already-booked flights. Can I confirm again that at least those
organizations on the board have NOT booked flights?
Iâll followup in a minute with a concise summary of our options and plan

I did already book my flights but could pay the penalty and rebook for Sep
27 and could not be there on Sep 21 or 22. It does sound like we shoudl
not move the event to a hotel and should look into Sep 27.

Thanks for forwarding Ellenâs take on the situation. It seems to me that what she points out about the week of 9/26 being the last week in session is really crucial. That info tips me in favor of moving everything back a week if we can.

Or at least it will be much harder to do so. Legislative staff won't be able to attend certainly off campus." (my emphasis)
In addition to the 27th, one last ditch possibility is to move the whole thing up a week. CEFâs gala and legislative conference is the 21st, and Iâm heavily involved in that, but could probably get away in the afternoon for a board meeting. Then we could do the member meeting on the 22nd and our awards the evening of the 22nd.
The key for me is whether any of this rescheduling is going to interfere with already-booked flights. Can I confirm again that at least those organizations on the board have NOT booked flights?
Iâll followup in a minute with a concise summary of our options and plan to proceed. Thank you all for your patience and helpful feedback.
