About Tacoma Refugee Choir
We are a rapidly growing 501(c)3 nonprofit with the mission of creating spaces for authentic expression, interconnection, and healing through song and music.  Our flagship program, the Tacoma Refugee Choir, has welcomed over 800 members from 61 countries, and performed for over 25,000 people at community, educational and government events, including WE Day, the National Race & Pedagogy Conference, and U.S. Citizenship ceremonies.  The choir has received standing ovations at TEDxSeattle and has been featured on PBS and Evening Magazine with stories and music videos of original songs created with members.  Additional programs include the refugee-centered podcast “Creating Home Together”, community singing events, and music therapy classes. Members have called the choir “my family”, “my weekly dose of hope”, and “my best day in America.”  We may not change conditions for the 90+ million people displaced by wars, famine, and natural disasters, but we can welcome and love those who find themselves in our community.

Who We Are Looking For
Tacoma Refugee Choir is looking for an experienced Administrative Assistant to join our growing organization.  This position reports to the Assistant Director and supports a variety of choir services and programs, by performing administrative, communications and clerical functions.

Responsibilities include:

Agendas & Documents:
Creates agenda for staff meetings with input from ED
Takes detailed minutes of all the meetings
Creates reports
Manages and ensures compliance of record documentation
Maintains records of organization equipment
Works with team to execute contracts and MOUs
Maintains member records including demographic information, audience totals, takes weekly rehearsal attendance, etc.
Song registrations and copyrights

Communications
Coordinates Newsletter
Maintains Website
Press Releases & Media Outreach
Promotes content & events
Works with outside consultants as needed for graphic design & editing
Keeps track of requests to join the choir and follows existing onboarding procedure to welcome new members.

Assist with Finances
Prepares all monthly payables and receivables in order to reconcile monthly income and expenses for detail to QBO.
Assists with classification of expenses and setting up documents for electronic signatures and approvals
Keeps track of incoming and outgoing invoices and payments.

CRM Management
Updates contact information from donors, members and new partners in CRM System
Ensures that all donor records are accurate and that donors receive accurate record of donation (possibly working with accountant and QBO records)

Organizes and maintains Google Drive
Answers office phone, redirects  calls and takes messages.
Troubleshoots and researches possible solutions
Other tasks as assigned.

Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
Personal experience as a refugee or immigrant, experience working with refugees or immigrants, or ability to speak another language.

Attention to detail and problem solving skills
Excellent time management skills and the ability to prioritize work
Maintains a positive attitude
Excellent written and verbal communication skills

Ability to learn organizational policies and procedures
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) as well as Google Doc, Sheets and Slides

Experience with promoting content online

Salary and Working Conditions
Salary DOE: $41,000-$47,000
Benefits include Medical/dental/vision, 401K, paid time off, sick leave, flexible hours, 90% remote work
