This is to propose a new CollectionSpace contribution from UC
Berkeley, whose goal is to make it easier to work, as a group, with
the set of objects associated with any other procedure or object.
This contribution has long been in use on CollectionSpace deployments
at UC Berkeley museums, beginning as early as August 2012.
This contribution make it easier to perform ad hoc tasks similar to
the following, via CollectionSpace's user interface:
- Running a report on all (or perhaps some) of the objects
associated with a specific loan.
- Running a batch job to perform a mass update on all of the objects
associated with a particular movement.
(A common workflow for these tasks would be to first add such
objects in bulk to a group - where you might remove or add individual
objects, if needed - and then run reports and/or batch jobs on the
objects associated with that group.)
The contribution consists of two complementary parts, implemented
entirely in CollectionSpace's UI layer by UC Berkeley's Ray Lee. Some
obvious pieces of the contribution can be seen in:
-
A new "Show" button in the Cataloging area of the right sidebar.
Clicking this button will list the Cataloging records related to the
current record, on an Advanced Search results page.
-
A new "Add to record" button on the search results page of Advanced Search.
Clicking this button allows you to add (relate) the records on the
current page of Advanced Search results to any other existing record.
You can try out this functionality on the QA server:
http://qa.collectionspace.org
For instance:
- Create a new Group record.
- Search for a Loan Out record whose borrower is the "Museum of
Legendary Creatures".
- Click the "Show" button in the Cataloging area of the right
sidebar. (This reflects the first proposed contribution.)
- On the Advanced Search results page that appears, click "Add to
record". (This reflects the second proposed contribution.)
- Search for your Group record. (Select "Group' from the dropdown
menu, then (optionally) enter its title, and click "Search".)
- Click the checkbox next to your Group, in the search results.
- Click "Add search results"
More details regarding this contribution are listed below.

changes made relative to the UI master branch, are listed in comments

contribution in his post to the Talk list in April 2013, and
contemplated adding the Add to Record functionality, as well, both in
a P.S. and in a follow-up post:

These contributions, while adding immediately useful capabilities,
are a stepping stone toward even broader functionality. It's long
been intended that you could perform powerful operations on the items
you've selected, via checkboxes, from any paginated list. (Comparable
functionality already exists in the "Search to relate" dialog.)
At some future time, the addition of that capability, or some subset
of it, may supplant the functionality offered in the current
contribution.

Hi Aron and all,
As you Aron already know, we would see this as a very important contribution, since it at least partly would allow us to run reports based on advanced searches across record types. This is a key functionality if our implementation is going to be a success.
Would it be possible to extent the functionality to pull a set of objects related to authority records (especially person authority records)? We have a lot of requests like: "Alle works of art by female artists born in the second half of the nineteenth century".
Cheers,
Kim

Hi Kim,
Thanks for endorsing these contributions (again)! Your question about extending this to work on authority records is one we have also been thinking about, and Megan has brought up some additional design questions. My team is currently gearing up for our next deployment (for part of the Berkeley Art Museum/Pacific Film Archive), so we don't have time to do more development on this right now. I suggest we put this on the list for future work as a proposed enhancement.
The release in which this will appear will be called version 3.3, and I think it's scheduled to be released in July. I'm hoping we can make this happen sooner rather than later, but that will rely on testing and QA of course. One of the things on my list is to create a QA script for these two contributions. I will draft a QA script, but would someone on your team be available to do the QA work and update the QA script if needed?
Cheers,
Chris

Hi Chris,
Thanks for your reply. We consider this functionality essential to the usefulness of our implementation of CS so we will probably try to find a solution to this quite soon, but we will keep you posted on our proceedings.
Regarding QA testing it entirely depends on the dates because we are all going on vacation quite soon. If I'm here I'll gladly do some QA testing and if you by QA script mean the QA test description on the wiki I will update the text if needed. However if you are referring to some kind of code work I don't think we can provide anything before the summer holidays.
I will be away from Monday July 15th and return to work Monday August 12th.
Cheers,
Kim

Emne: [Talk] Proposed CollectionSpace contribution: "Show Related Objects" and "Add to Record" buttons

Chris Hoffman already proposed the Show Related Objects button as a
contribution in his post to the Talk list in April 2013, and
contemplated adding the Add to Record functionality, as well, both in
a P.S. and in a follow-up post:
http://lists.collectionspace.org/pipermail/talk_lists.collectionspace.org/2013-April/001251.html

Hi Chris,
Thanks for your reply.
Cheers,
Kim

Hi Kim,
Thanks for endorsing these contributions (again)!
Cheers,
Chris

Thanks, Kim. I am talking about the QA test descriptions on the wiki.
No programming involved. Hopefully we will be doing this before your
vacation. I'm sure you will be busy then so we will try to keep this
moving along.
Regarding the additional work to make this kind of functionality work

If you have someone who can help with the programming maybe we could

the existing contributions but different because authority references

Also, we should tell you more about the web applications we are

Hi Chris,
Sorry for this belated response but we are quite busy working towards our launch of CollectionSpace now scheduled for August 19th - but with Summer holidays in between.
I like your suggestion of working together on this contribution, and since we are going to have a developer working on this anyway sure we will do some or all of the programming. But let's exchange ideas on how to reach this goal. I'll get back to you when we commence work on this functionality.
We would love to hear more about how you support complex searches with web applications. We have Sébastien working on iReports as well, but ideally we would want end users to be able to perform the searches themselves and then pull the reports in standard formats set up in iReport.
Cheers,
Kim

current record, on an Advanced Search results page.
-
A new "Add to record" button on the search results page of Advanced Search.
More details regarding this contribution are listed below.

changes made relative to the UI master branch, are listed in comments
on:
http://issues.collectionspace.org/browse/CODE-30 (Show Related Objects)
http://issues.collectionspace.org/browse/CODE-31 (Add to Record)

Chris Hoffman already proposed the Show Related Objects button as a
contribution in his post to the Talk list in April 2013, and
contemplated adding the Add to Record functionality, as well, both in
a P.S. and in a follow-up post:
http://lists.collectionspace.org/pipermail/talk_lists.collectionspace.org/2013-April/001251.html
http://lists.collectionspace.org/pipermail/talk_lists.collectionspace.org/2013-April/001259.html

Hi Chris,
Sorry for this belated response but we are quite busy working towards our launch of CollectionSpace now scheduled for August 19th - but with Summer holidays in between.
Cheers,
Kim

Thanks, Kim. I am talking about the QA test descriptions on the wiki.
No programming involved. Hopefully we will be doing this before your
vacation. I'm sure you will be busy then so we will try to keep this
moving along.
Regarding the additional work to make this kind of functionality work
with authority records, we have some ideas about how that might work.
If you have someone who can help with the programming maybe we could
work together on this as a contribution. It would be quite similar to
the existing contributions but different because authority references
don't show in a secondary tab.
Also, we should tell you more about the web applications we are
building that support some of the kinds of searches you mentioned
(works of art by female artists...). We are also doing a lot of work
with iReport for some of these queries.
Thanks,
Chris

Emne: [Talk] Proposed CollectionSpace contribution: "Show Related Objects" and "Add to Record" buttons
- Click the "Show" button in the Cataloging area of the right
sidebar. (This reflects the first proposed contribution.)

record". (This reflects the second proposed contribution.)
- Search for your Group record. (Select "Group' from the dropdown
menu, then (optionally) enter its title, and click "Search".)
- Click the checkbox next to your Group, in the search results.
- Click "Add search results"
